Smartcard Classroom Control System
To improve security, energy saving and streamline facilities utilization in the University, Classroom Smartcard Control works with the EdUHK Card to control the room access and its facilities.
Rooms must be reserved by iBooking system in advance and the booking detail will appear on the access control reader. With the feature on Venues Check-in through EdUHK Card, user may check in/ out the room.
Twenty minutes before a booked session of a classroom starts, the control system will automatically turn on the lights, air conditioning and unlock the door to allow attendees to enter the room. However, users are required to check in the room within 15 minutes after the session starts by presenting a valid staff card on the check in device (the one outside the room). For successful check in, the display on the device will change from ‘Room Not In Use’ to ‘Room In Use’.
If you do not check in within 15 minutes, the system will turn off the lights, air conditioning and lock the door five minutes later.
Users should check out the room if they finish using the room before the session ends. To do so, present a staff card on the check in device outside the room. The display on the device will change from ‘Room In Use’ to ‘Checked Out’.
After checking out, the system will turn off the lights, air conditioning and lock the door five minutes later.
When a booked session ends, user will hear buzzer sound as reminder. If there is no booked session after the current one, the system will turn off the lights, air conditioning and lock the door after one minute.
If there is no booking after the current booked session, user can extend the booking and continue to use the room for another 30 minutes (end-grace period). To do so, users need to do the followings within 20 minutes before the session ends:
1. Tab “View Booking” on the check in device outside the room
2. Tab “Extend”
3. Place the staff card on the check in device. The display on the device will change to “Extended” after successful extension.
The attendance reader inside the classroom (normally next to the entrance) can be used to take attendance and the attendance record is uploaded to the system and be available on the next day.
Door Release Button
For safety purpose, each classroom is installed with a door release button (normally next to the entrance) to unlock the classroom door in case the door is locked by the system.
