The feature is only available if support for an East Asian language is enabled through Microsoft Office Language Settings. (PCs provided by OCIO are installed with Simplified and Traditional Chinese Language Pack.)

Procedures: (For Word 2007/2010/2013)

  1. Firstly, highlight the text you needed.
  2. Then you need to change the language for you phonetic guide. Click on the language from the status bar.
  3. Choose the language you need. (e.g. Chinese (PRC)). Then press "OK.
  4. Now, from the "Home" tab, click on the "Phonetic Guide" button.
  5. Change the settings you need, then press OK

Procedures: (For Word 2003)

  1. Select the text to which you want to add phonetic guides.
  2. From the menu bar click "Format" -> "Asian Layout" -> "Phonetic Guide"
  3. In the "Ruby text box", enter the phonetic guides that you want to apply to the selected text. (default ruby text will be applied)
  4. For "Phonetic Guide" format, change the following(s):
    • To change the font or font size, select the option you want in the Font or Size box.
    • To change the alignment, select the option you want in the Alignment box.
    • To change the offset from the base text, select the distance you want in the Offset box.
  5. After changing the format style, click "OK", then you will get the result similar to this.


Procedures: (For Word 2016 Mac)
The default installation of Office for mac 2016 use English interface. If you want to use phonetic guide, you need to change the language settings for Office for mac first.

  1. From the Word menu bar, click "Word" -> "Preferences...".
  2. Choose "East Asian Languages"
  3. Change the language to "Simplified Chinese/Traditional Chinese" depends on which phonetic guide you use.
  4. Restart Word 2016.
  5. Highlight the text and click the "Phonetic Guide" icon.


Procedures: (For Word 2011 Mac)

The default installation of Office for mac 2011 use English interface. If you want to use phonetic guide, you need to change the language settings for Office for mac first.

  1. From the menu bar, click "Go" -> "Applications"
  2. Go to the folder "Microsoft Office 2011" -> "Additional Tools" -> "Microsoft Language Register" then open "Microsoft Language Register"
  3. Change the language to "Simplified Chinese/Traditional Chinese".
  4. Open Word 2011.
  5. Highlight the text and click the "Phonetic Guide" icon.

Note:

  1. Han Yu Pin Yin phonetic guides will auto apply to any Simplified Chinese text as shown on the figure above.
  2. You may need some special characters for the Han Yu Pin Yin, English phonetics or mathematical equation, such as , λ, π, , Σ. Most of the fonts in Windows supports these symbols but they are not shown on the keyboard. You can input these characters in your document by selecting the character from the "Character Map" program as shown and select the character and copy and paste the character to your document. Some character provide short-cut key sequence, for instance, to type ȳ, just hold the Alt key and press 0233 on the keypad as shown in the lower right hand corner. The character map program is accessible through "Start Menu -> Programs -> Accessories -> System Tools -> Character Map"
